Capture
Every lead you buy gets answered in seconds and worked until it books, dies, or gets a reason recorded.
Capture runs forward. It sits behind your existing ads, phone lines, forms, and social channels, and it owns the stretch from the moment a lead lands to the moment an appointment is real.
What it's for
Capture is for operators buying lead flow who can't tell you their close rate by source. That is the most common situation in this market and the most winnable.
You are already paying for demand. People are already reaching out. The question is what share of them get a fast answer, a second attempt, and a recorded outcome, and whether anyone can tell you which channel produced the jobs you actually closed.
How it works
- Intake.
- Every capture path is routed into one record system: forms, phone lines, chat, social lead forms, marketplace feeds, and any separate store or application flow. Each lead carries its source from creation. On channels you own, the fields your team needs to quote become mandatory at capture. You decide which fields.
- Completion.
- On channels nobody controls, particularly inbound calls and marketplace leads, the lead often arrives thin because no form was ever involved. Our system contacts that lead immediately and collects the missing facts in conversation. ZIP, scope, access, timing. Written back to the record within minutes, with nobody on your team doing anything. Every field shows whether the buyer submitted it or the system collected it. Nothing is guessed.
- Response.
- Every lead, every channel, gets an outbound response in seconds. Missed inbound calls get a text back inside sixty seconds with a booking link. Nights, weekends, and the two hours your team is on a roof are covered the same as Tuesday at ten.
- Follow-up.
- The reply gets handled. Real questions get real answers from your services, service area, pricing context, and FAQs. Objections get worked. The appointment gets booked. Every estimate you send gets automated follow-up across consented channels for the length of your active follow-up window, until the prospect responds, books, or opts out. Appointments get confirmed, reminded, rescheduled, and recovered when someone no-shows.
- Outcome.
- Every lead gets an outcome recorded. Reporting runs from lead through appointment by originating channel, weekly.
What you get
A report every week, organized by those five stages, ending with the channel-level numbers you need to make your own spending decisions: quotable rate, cost per quotable lead, and booked appointments by source.
The report goes to you. What you do with it is your call. We never touch ad management.
If a channel's completeness rate drops sharply week over week, for example when a lead form gets reset to fewer fields, you hear about it that week.
What it needs from you
- Admin or integration access to every lead source your business owns, before the build begins
- A list of every channel producing leads today
- Your services, service area, average job value, pricing ranges, and top FAQs
- Calendar or booking system access
- A monthly closed-jobs export, or a system-of-record connection. Without one of those, reporting stops at appointments booked, and we say so before anything is signed.
What it doesn't do
Capture does not replace your CRM or job management system. It sits in front of what you have. Nothing gets replaced and nobody on your team learns a new system.
Capture does not run your ads, and it does not report to your marketing company. During setup, with your approval and with you copied, we may send them a short technical spec so their forms route leads with the right fields. That handoff closes at go-live.
Proof
Capture generates its own proof during the sale, from your own leads. A count from your last twenty beats anybody's case study, because it's about you.
That is why the spot check is free, takes twenty minutes, and happens on your screen.
